By submitting a deed poll application, you are agreeing to the following terms and conditions. It is therefore important to read and understand our full terms and conditions before submitting an application.

1. Introduction


Welcome to www.deedpollagency.co.uk (the “Website”), operated by Deed Poll Agency UK ("we", "us", or "our").

By accessing or using this website and our services, you agree to be bound by these Terms and Conditions. If you do not agree, please do not use the website or submit an application with us.

2. Our Services


We provide legal name change documents (commonly known as a Deed Poll) for:

​

  • Adults aged 16 years and above

​

  • Children under the age of 16 (by a parent/legal guardian with parental responsibility)

​​

Our Deed Polls are unenrolled, private legal documents issued under UK common law.

 

We do not offer enrolled deed polls, which are only available via the UK courts.

​

Once correctly signed, dated, and witnessed, our documents are accepted by most UK government departments, banks, and institutions.

​

We offer two delivery methods:

​

  • Digital Deed Poll: sent by email as a password-protected PDF instantly upon application submission. You will also receive a text message containing the password to access your deed poll.

​

  • Printed Deed Poll: sent tracked, by post via Royal Mail within 2 working days.

​

Customers choose their preferred delivery method during checkout.

​

3. Eligibility


To use our services, you must be:

​

  • At least 16 years of age.

​

  • A UK resident.

​

4. Price and Payment


The standard cost is £9.99 for both email or postal delivery.

​

There are no hidden fees.

​

All payments are processed securely using Stripe, our third-party payment gateway.

​

We do not store card or payment details on our servers.

​

5. Delivery


Email Delivery:

​

Documents are typically delivered instantly following successful payment.

​

In some cases, delivery may take up to 1 hour depending on system load or email filters.

​

You will also receive a text message containing the password you need to access your deed poll document.

​

Postal Delivery:

​

Documents are dispatched via Royal Mail within 2 working days.

​

Tracking & Notifications:

​

To allow Royal Mail to provide delivery updates, we share your email address and telephone number with them at the time of dispatch.

​

Royal Mail uses this data solely for tracking and delivery notifications.

​

We are not responsible for delivery delays caused by Royal Mail or for incorrect contact details submitted by the customer.

​

Please allow up to 7 days for delivery from the date you submit your application.

​

6. Accuracy of Information


You are responsible for ensuring that all submitted information is accurate.


We do not verify the details you provide.


Any incorrect or false information may lead to an invalid deed poll and potential rejection by record-holding organisations. We will also not issue replacement documents or refunds.

7. Legal Status of Our Documents


Our documents comply with UK common law and are accepted by most UK organisations.

​

Acceptance is not guaranteed in every case—especially outside the UK or in unique legal situations.

​

If in doubt, you should check with individual organisations before applying.

​

We do not provide legal advice or enrolled/court-issued deed polls.

​

8. Third-Party Services


To provide a fast and efficient service, we work with trusted third-party providers, including:

​

​

  • Jotform, A secure document generation service, which creates and delivers your personalised deed poll documents - - Jotform Privacy Policy.

​

​

  • Twilio, to send you an SMS containing a password for accessing your password-protected Deed Poll PDF sent by email  - Twilio Privacy Policy.

​

These providers process only the information required to fulfil their function, and only for the purpose of completing your order.

​

By submitting an application with us, you agree to allow us to share the relevant information needed for us to fulfil our services and commitments to you.


We are not responsible for any data breaches made by these third parties.

 

It is highly recommended that you read and understand the privacy polices of the above their parties which can be done by clicking the relevant blue links above before submitting an application with us.
 

9. Cancellations, Refunds and Replacements


Due to the customised and digital nature of our service, cancellations and refunds are not available once your deed poll has been generated.

Email Delivery:

​

Documents are generated instantly upon application submission.

​

For email deliveries, cancellations and/or refunds will not be made once you submit your application.

​

Postal Delivery:

​

Documents are generated within our working ours and can be generated instantly when you submit your application or up to the end of the 2nd working day after submitting your application depending on our demand level.

​

For postal deliveries, cancellations and/or refunds will not be made once we assign your application as deed poll dispatched and have notified Royal Mail.

​

Replacements:

​

We will not issue replacement deed polls or additional legal documents if you have submitted incorrect information on your application form.

​

10. Privacy and Data Protection


We are committed to protecting your data in accordance with the UK GDPR and Data Protection Act 2018.

Your data is used only for the purposes of processing your application, generating your deed poll, and fulfilling delivery.

​

We will never share your information with third parties for marketing purposes.

​

11. Use of the Website

  • Submit false or misleading information
